Who handles your information?
Zien360 is a sole proprietorship and is responsible for the use of personal information described in this notice. You can contact Martin Jan Hoekstra with questions about this.

What information do we use?
This depends on your contact with us. It may include:
- Your name, company name, business contact details and website.
- Information you provide about your location, plans and the tour or video you have in mind.
- Our correspondence, agreements, quotations and information needed to carry out a project.
- Billing details and payment information.
- Technical information for spam protection, such as your IP address and browser information.
- Photos and videos we create for a project. These may contain personal information if people are identifiable.
Why do we use this information?
We use your information to answer questions, prepare a price estimate or quotation, make arrangements and carry out a project. If you enter into the contract in your own name, the legal basis is taking steps towards or performing that contract.
If you are the contact person for a company commissioning a project, we use your business contact details for our legitimate interest in handling enquiries and customer relationships and carrying out projects for that company. We also consider your privacy when doing so.
For billing and business administration, we use information needed to meet our legal obligations.
For necessary spam protection, we use technical verification data for our legitimate interest in protecting the enquiry form against misuse.
Price estimates are assessed personally. Your enquiry does not result in a price being set automatically based on a profile.
You choose whether to submit an enquiry. Your first name, company name and email address are needed to assess it personally and reply. The website and project notes are optional in the enquiry form. Please do not include sensitive personal information in the notes.
Which services do we use?
We use the following services in our day-to-day work. The information entered into them depends on your enquiry or project.
- Google Workspace, with Gmail for business email correspondence about questions, enquiries and projects.
- Moneybird for invoicing and business administration.
- Formspree for processing and storing form enquiries and forwarding them to Zien360.
- Cloudflare for hosting the online preview, the protected price estimate administration and the form connection. Cloudflare Turnstile provides necessary spam protection on the enquiry form.
- Bunny Stream for playing the full BAS video. The external player loads only when you open the video.
- Snov.io for one automatic acknowledgement after a form enquiry, in Dutch or English. Snov.io receives your first name and email address; your selected language determines which acknowledgement you receive. We do not track email opens or link clicks. Further price estimate follow-up sequences remain disabled in this preview.
- We occasionally use Zoho to keep track of projects and their contact details.
Contact after your enquiry
If you request a price estimate or quotation, we may contact you about it. For example, to ask for a missing detail or find out whether you have any questions about the proposal.
If you do not respond, automatic follow-up stops after a fixed number of emails.
An enquiry is not general consent to newsletters or other advertising. Let us know if you no longer want follow-up messages about your enquiry. Messages necessary for an ongoing project or our administration are separate from this.
How long do we keep your information?
We keep information for as long as it is needed to handle your enquiry, fulfil our agreements and maintain contact about the project. When determining that period, we consider the purpose of the information, the status of the enquiry or project and what we need to account for our agreements.
If an enquiry does not lead to a project, we keep the enquiry, related price estimates and contact details for no more than twelve months after the last substantive contact. If particular information is needed for a specific dispute or a legal obligation, we keep only that information for as long as that purpose requires.
The basic records of our tax administration, such as purchase and sales records and accounts receivable, are generally subject to a statutory seven-year retention period. This period does not automatically apply to every email, recording or other project file. We therefore cannot always delete all administrative information immediately when asked.
The enquiry form and the current test phase
This new website is available as an online preview. Submitting sends your selected service, first name, company name, email address and any website and project notes directly from your browser to Formspree.
Formspree validates the spam check, stores the enquiry and forwards it to [email protected]. After a positive response from Formspree, your browser requests an acknowledgement through our Cloudflare connection. That connection performs a separate spam check and passes your first name and email address to Snov.io for one acknowledgement in your selected language. There is no automatic connection to Zoho.
To prevent duplicate processing, the connection keeps a protected record of your first name, email address, language, request identifier, checksum and processing status. Free-text notes and the spam verification token are not retained in that record. The website remains in a test phase and displays a test notice. The chosen twelve-month period for enquiries without a project still needs to be implemented in the relevant systems. Other retention and deletion arrangements remain open, and operation on the main domain must be checked before migration.
Spam protection with Cloudflare Turnstile
When the enquiry form loads, your browser connects to Cloudflare Turnstile. The service processes technical signals, such as your IP address and browser information, to recognise automated submissions. Formspree validates its own spam check. Our form connection separately checks that an enquiry passed the additional Cloudflare check before requesting an acknowledgement email.
Cloudflare also uses these signals to improve Turnstile’s bot detection. Further information is available in the Cloudflare Turnstile Privacy Addendum, linked at the end of this notice.
Viewing examples and following external links
You can open examples of tours and videos on the website. A full tour or external player is only loaded after you click its button. Examples may be loaded through zien360.online, Bunny Stream, YouTube or Google Maps.
The Bunny player is configured without saving your playback position or preferences. Bunny states that its player may send anonymous technical information about matters such as video quality, errors and buffering.
Full tours on zien360.online, YouTube and Google Maps load only if you enable the separate External examples option. Otherwise, opening an example first shows an explanation and consent choice. We use youtube-nocookie.com for YouTube; it can still process information after loading and playback. Full tours can contain their own measurement tools and embedded media. The Bunny player opens only at your request. The provider then receives technical information needed to deliver the example.
Links to services such as WhatsApp and LinkedIn open another service. That service’s privacy policy applies when you use it.
What are your rights?
You can ask what personal information we hold about you and request a copy. If information is incorrect, you can ask for it to be corrected. Subject to the conditions of the GDPR, you can also request deletion, restriction of use or the transfer of your information.
You can object to processing based on a legitimate interest. You can always object to the use of your information for direct marketing. If we use information based on consent, you can withdraw that consent. This does not affect earlier lawful use.
Send your request to [email protected]. We may ask for information to make sure the request comes from you. We normally complete your request within one month. If an extension is permitted and necessary, we explain within that month why extra time is needed and how much. An extension is limited to two further months. If we cannot fully comply with your request, we explain why.
People and information in images
Before the shoot, we discuss which people, documents, screens and other information may be visible. We also agree what should be removed beforehand and what should be made unrecognisable.
The client reviews a draft before publication. Where people are identifiable, the legal basis for using their information and the arrangements for informing them and publication must fit the project. Commissioning a project does not automatically mean consent from the people shown.
The work determines each party’s responsibilities and whether a data processing agreement is needed. We record those arrangements for the project.
